The Vikings events list for members can been found on the Event Menu to the left, simply click the year, and then the month you want to see the listed events.

To submit an event, click the 'Submit Event' menu button on the Event Menu, please remember the show submission procedure here -

Event Submission Instructions - 1.1

The Website events system is in place to make sure that the required people in the society are informed about planned events, and for advertising purposes, it should be used for EVERY event even if you have informed the events team already.

NOTE: The website booking system should not be used as the initial contact for an event, ensure you have the resources for an event BEFORE you make the submission, please ensure your RSEC/National Events Coordinator is kept in the loop.

Remember, you must file a Risk Assessment with the Society Health and Safety Officer

How to submit an event

Click the 'Submit Event' link on the Events Menu to the left of this screen

Fill in the form as follows:

Group Name: Type the name of the group running the event, if a Society event, type Society.

Contact Name: The contact name of the person who is handling correspondence for the event

Contact e-mail: the email address of the person filling out the form, the receipt will be sent to this address and may be used for future event queries.

Event Start Date and Event End Date: Click on the button to the right of each field to choose the events start and finish date, note the dates display in US format (YYYY-MM-DD). Pop-up blockers should no longer affect the function of this system

Event Type: Select the class of event being organized –

  • Major Show – Events involving the whole society
  • Medium Show – Events involving your group and surrounding groups
  • Minor Show – Events involving mostly your own group
  • School visit – A paid for school visit by persons registered under the society school visits scheme
  • Other – Events that do not fit into any of the above categories

Event Fee: The amount being paid for this event, this is required for society admin and insurance reasons
Is this a Public or Vikings Members event?:

  • Public – The event is taking place at a location where the general public will be viewing our events
  • Members – The event is for the benefit of The Vikings members (eg, Play Weekend, Training Weekend, Banquet, etc.)

Note, if School is selected under event type, then this option has no effect, school events are never listed on the website

Event Location: The Location of the event, please only give the general location here (eg, Kirby Hall, Northamptonshire)

Public Event Details: The Details of the event you want to make known to the general public, this will be displayed on the main Vikings website, please do not put information regarding camping, contact information, and portaloos here. Note, if the event is marked as Members, this information will appear on the members site only.

Private Event Details: Place information useful to Vikings members here, this will be displayed on the Vikings members site only. Please do not repeat public information here, as public information is also shown on the member site.

Once the form has been filled in, click Submit

If you have made a mistake, or not filled out the form correctly, an error message will
appear and give you the chance to correct the error.

Should all be well, you will be taken to the confirmation page, and will shortly receive an
email confirming the details entered.


Once the event is approved, it will appear on the society websites at the following locations
